Privacy Information Statement: Player Identification & Age Verification

1. Data Controller
Coventry & Warwickshire Youth Football League (CWYL) is the data controller responsible for processing your personal data. If you have any questions regarding how your data is handled, please contact our Registration Officer or Welfare Officer at  danielle@cwyl.uk or  welfare@cwyl.uk.

2. Purpose & Legal Basis for Processing
– Purpose: We collect proof of age (e.g., passport snippet or birth certificate) to satisfy the FA registration requirements and verify player eligibility for their respective age category.
– Lawful Basis: UK GDPR Article 6(1)(f) – Legitimate Interests. Processing is necessary for the legitimate interests of the League, teams, and players to ensure fair, age-appropriate competition and meet FA governance rules.

3. Data Minimisation & Redaction
To verify eligibility, we only require the player’s Full Name and Date of Birth. Parents/guardians are encouraged to redact/blank out all other details (such as passport numbers, nationality, addresses) before uploading.

4. Data Security & Access
Uploaded documents are stored in a secure, password-protected system. Access is strictly limited to three designated committee officers who hold enhanced DBS clearance and Safeguarding training.

5. Retention & Deletion
ID documents are retained temporarily solely to confirm the player’s date of birth. Once age verification is complete, the uploaded document is permanently deleted.

6. Your Rights
Under UK GDPR, parents/guardians have the right to request access to personal data held by the League, request erasure, or object to processing. To submit such a request, please contact our Registration Officer or Welfare Officer. If you have concerns about how your data is handled, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at  ico.org.uk.
